Job Description

The Digital Programs Coordinator is responsible for the daily operations of the organisations’ digital platforms, ensuring reliability through standardised procedures, proactive monitoring, and close collaboration with cross-functional teams and external vendors. The role drives consistent execution of routine services, prompt issue escalation to partners, and ongoing platform improvement, while supporting the maintenance of existing systems and integrations within the available resources.

Key responsibilities

Operations and service delivery

  • Manage day-to-day operational tasks, routine service delivery, and stability of existing digital systems.
  • Coordinate with cross-functional teams and external partners to meet program deliverables and service level expectations.
  • Triage and route escalation of issues, ensuring timely resolution and clear ownership.
  • Monitor performance metrics and drive improvements to reduce incidents and downtime.
  • Provide support in IT onboarding, induction and access provisioning.
  • Assist in maintaining accurate records of assets, licenses and system configuration.

Digital platform management

  • Support the maintenance, tracking, and incremental improvement of existing digital products and services.
  • Assist in evaluating and coordinating with external vendors for development, training, and enhancements.
  • Facilitate changes and enhancements based on stakeholder input, prioritised against roadmap.
  • Contribute to ongoing ICT projects, system implementations and organisational initiatives.

Data, reporting and analytics

  • Support the design and implementation of reporting processes to monitor digital strategy progress.
  • Collect and analyse operational data to inform decision-making and demonstrate impact.
  • Prepare periodic reports for leadership on performance, risks, and benefits realisation.
  • Ensure data quality and integrity across platforms and integrations, escalating data issues as needed.

Quality assurance, compliance and risk management

  • Contribute to continuous improvement initiatives and evaluate the effectiveness of digital programs and policies.
  • Maintain visibility of workflows and control points to support auditability and compliance.
  • Ensure adherence to internal governance standards and relevant external requirements.
  • Proactively identify risks, propose mitigations, and track remediation progress.

Collaboration and vendor liaison

  • Coordinate with internal teams and external vendors for escalations, deployments, and service improvements.
  • Participate in projects that require cross-functional IT coordination.
  • Manage relationships with external suppliers and vendors for routine services.
  • Coordinate vendor activities and escalations; monitor performance against SLAs.
  • Facilitate knowledge transfer and training delivered by vendors to stakeholders or internal teams.

Capabilities and competencies

  • Demonstrated knowledge and understanding of Indigenous societies, cultures and issues affecting Indigenous Australians in business.
  • Ability to translate business requirements into workable technical designs.
  • Skill at converting technical concepts into clear, actionable requirements, and acceptance criteria for delivery teams.
  • Experience with project delivery methodologies and delivering end-to-end implementation projects.
  • Proficiency in communicating complex technical concepts clearly to non-technical audiences.
  • Experience coordinating cross-functional teams, vendors, and internal stakeholders.
  • Familiarity with QA processes, end-to-end testing, integration testing, and user acceptance testing.
  • Ability to diagnose root causes of issues, present viable options and timely solutions.

Qualifications and experience

  • Minimum of 5 years’ working in a digital programs’ environment and/or relevant qualifications.
  • Hands-on experience with Salesforce including configuration, customisation and administration.
  • Strong understanding of Salesforce data model (objects, fields, relationships), security model (profiles/roles/permission sets), automation (flows, process builder, workflow rules), and reporting/dashboards.
  • Familiarity with Salesforce integration patterns (REST APIs, outbound messages, data import/export) and deployment concepts (sandboxes, change sets, pipelines).
  • Knowledge of integration patterns between Salesforce and other enterprise systems (marketing/finance/ticketing/survey platforms, custom apps).
  • Understanding of API design principles, gateways and integration platforms.
  • Familiarity with data mapping, data transformation and cross-system data sharing.
  • Hands-on experience managing integrations across digital systems.

Additional requirements

This position is designated as requiring a satisfactory National Police Check as an inherent requirement. Appointment to the role is subject to the successful completion of a criminal history check and the provision of a clearance deemed acceptable by Supply Nation in line with policy. Rescreening is also required at regular intervals and under specific conditions.
